Service Policies (DCP Mastering)
1. Scope of Service
Ninja DCP provides professional Digital Cinema Package (DCP) mastering and packaging for exhibition in commercial cinemas, festivals, and professional screening environments. Depending on the quote, the service may include:
- DCP packaging compliant with digital cinema exhibition standards (SMPTE / Interop, as applicable) in 2K or 4K;
- Color space conversion and management (e.g., Rec.709 to X'Y'Z', when applicable);
- Audio mapping and encoding (Stereo, 5.1, or other contracted configurations);
- Subtitle integration/conformance when provided by the client (e.g.,
.srt), according to DCP specifications; - Metadata generation and CPL (Composition Playlist) creation, including package control files;
- Technical QC routines and integrity validation prior to delivery;
- Encryption and KDM generation only when contracted and when valid cinema server data is provided.
Additional services (such as frame rate conversion, loudness adjustments/normalization, accessibility audio, closed captions, alternate versions, and festival-specific deliverables) may be requested and are quoted separately.
2. Fees, Quotation and Payment
All pricing is defined before the project begins, based on the current price table published on the website or a custom proposal. Pricing may consider factors such as duration, resolution (2K/4K), audio format, technical complexity, and optional services.
Prepaid only: Ninja DCP operates on a 100% upfront payment basis. Work starts only after order confirmation and full payment of the approved total amount.
If payment is not confirmed (or in case of chargeback/reversal), Ninja DCP may not initiate or may suspend the project, and will not release the DCP and/or download links until the situation is fully resolved.
3. Festival Coordination and Delivery
When applicable, Ninja DCP can coordinate and deliver materials for festivals, covering technical preparation, checks, guidance, secure delivery, and operational communication with the festival technical team when needed.
No extra fee: This coordination is not charged as an additional service. The client must simply provide the contact details of the responsible technical representative so delivery can be aligned properly.
Important: Festival submission/entry fees or any charges imposed by the festival are the client's sole responsibility. Ninja DCP does not process festival payments on the client's behalf unless explicitly agreed in writing.
4. Modifications and Re-Mastering
DCP creation requires significant processing time, rendering, quality control, and validation. Unless otherwise agreed, all source materials submitted by the client are treated as picture-locked and final.
Requests to re-master a DCP due to changes to the source content (new edit, updated sound mix, corrected credits, etc.) or changes to technical specifications after work has begun may be treated as a new project and billed according to standard mastering rates.
5. Client Responsibilities
The client represents and warrants that:
- They hold all necessary intellectual property rights, licenses, and permissions for the supplied content (video, audio, subtitles, and graphic assets);
- The use of such content for DCP creation does not infringe third-party rights;
- Source materials are provided in high-quality formats suitable for cinema mastering (e.g., ProRes, DNxHR, IMF, or uncompressed image sequences such as DPX/TIFF);
- All sync information, timecode, and metadata provided are accurate and complete.
The client agrees to indemnify and hold Ninja DCP harmless from claims, liabilities, losses, or expenses (including reasonable legal fees) arising from any breach of these warranties.
6. Quality Assurance and Corrections
Ninja DCP delivers DCPs designed to meet applicable digital cinema packaging standards and to be playable on compatible cinema servers.
Limited warranty: If a delivered DCP fails to play due to a technical non-compliance directly caused by our mastering process (e.g., incorrect packaging, data corruption, encryption/KDM packaging issues), we will provide a corrected DCP at no additional cost.
This warranty does not cover issues caused by:
- Defective, incomplete, or low-quality source materials supplied by the client;
- Non-compliant or outdated cinema servers/equipment;
- Corrupted media, defective drives, or file transfer errors after delivery;
- Creative/content changes requested after approval and delivery.
Content revisions requested after delivery may be treated as a new versioning service and may incur additional charges.
7. KDM and Encryption Protocols
For encrypted DCPs, KDM generation requires valid cinema server certificates from the exhibition venue. It is the client's responsibility (or the venue's) to provide correct and valid server identification/certificates.
Ninja DCP is not responsible for playback failures caused by incorrect certificates provided by the venue or by KDM requests made with insufficient lead time (less than 24 hours before a scheduled screening).
8. Delivery Timeframes
Delivery timeframes are estimates provided in good faith based on workload and project complexity. Timing may vary depending on content duration, optional services, and the availability/quality of source materials.
Ninja DCP will make reasonable efforts to meet agreed deadlines, but cannot be held responsible for delays caused by late/incomplete materials, source issues requiring troubleshooting, revision rounds requested by the client, or force majeure (internet outages, power failures, natural events, etc.).
Rush delivery options may be available for eligible projects upon request and may involve an additional fee.
9. Archiving and Data Security
Ninja DCP treats client content as confidential and does not share, distribute, or publicly exhibit any materials without explicit written permission.
Source files: Source assets may be deleted after project completion and delivery unless temporary storage is requested.
DCP files: Delivered DCP packages may be retained for up to 6 months for recovery purposes and/or KDM regeneration (when applicable). After this period, the DCP may be deleted.
Download links (Google Drive): When delivery is provided via Google Drive, links are typically available for up to 30 days. The client is responsible for downloading and maintaining their own backups within this period.
File transfers are performed using secure methods, and reasonable industry-standard measures are applied to protect data during processing and storage.
10. Limitation of Liability
To the maximum extent permitted by applicable law:
- Ninja DCP is not liable for playback issues, lost revenue, or consequential damages resulting from venue malfunction, equipment incompatibility, user error, or third-party systems.
- Ninja DCP's total liability for any claim arising from our services is limited to the total amount paid for the specific project in question.
- Ninja DCP guarantees technical delivery standards only, and makes no guarantees regarding creative decisions, box office performance, or artistic outcomes.
